Guidelines for Student Assistants

These are the expectations we have for student assistants:

In General

  • Respond to E-Mails within 48 hours on working days.
  • For meetings with your supervisor(s), make appointments in advance via E-Mail. If you come without an appointment, you cannot expect from your supervisor(s) that they will be in the office, and have time for you.
  • If you cannot keep an appointment, cancel it in advance via E-Mail, and provide an explanation for cancellation.
  • If you are absent for a longer period of time (e.g. taking a vacation, writing exams), also report this to your supervisor(s), with at least 14 days of advance notice.
  • Provide progress reports to your supervisors, at least every 14 days.
  • Take part in Code Reviews, when prompted by your supervisors.
    • Taking part in code reviews counts as working hours.
    • If you cannot take part in a review, you also need to cancel the appointment in advance.
  • If time permits, you can also take part in our institute and proposal seminars.
  • Follow our guidelines for writing reports, quality assurance, using Eclipse tooling, and using Version Control Systems.
    • Not all guidelines may apply to you, depending on the project you work on (Palladio, Vitruvius, JPlag, ArDoCo...)
    • Your supervisor(s) may provide additional guidelines.
  • Report any changes to your contact information (mobile number, contract address etc.) immediately to the secretaries' office.
  • Take care with any items (books etc.) you lend from SDQ, and return them as soon as you do not need them anymore.

Documenting Working Hours

  • By the German Minimum Wage Law, you need to document your working hours.
    • Use the template by PSE (in German; if required, ask your supervisors for an explanation)
    • Hand in the filled out form monthly in the secretaries' office.
    • In agreement with your supervisor(s), you can work less or more hours in a month. However, you may not collect more overtime or undertime than half your monthly working hours.
